Most secretaries keep a rolodex on their desk with lots of little ‘post-it’ notes and scraps of paper sticking out of the regular cards and of course there are business cards stuck in here and there. It’s a mess. The Client Rolodex software program is perfect for storing all the information regarding a client, customer, business contact or employee or other contacts you need to keep important personal information on. The Client Rolodex offers a large ‘note card’ style filing system that shows up on your computer and you simply fill in all the boxes with the information that is requested by the titles in the upper right-hand corner of each box. It’s very simple and self-explanatory. There is first a place for the customer or contacts first and last name at the top of the ‘note card.’ Next you enter an address, either business or home – there is a place for both – and then the city, state and zip code is located on the line below that. The next line is reserved for the telephone numbers and there are four places for these, business, fax, cell and home numbers all have a place. The following line is where the email address goes and on the same line is a box for ‘group.’ This is a pull-down box because you can categorize your contacts, clients, employees and such into groups so you can send out mass emails to the different groups.
The next few lines are for date of contact if you wish to put in when you first began doing business with this person or business, such as a printing company so you know how long you have had a contract with them at the glance of a date. And then there is a large area towards the bottom of the ‘note card’ which says extra notes or information. This comes in handy when you need extra room such as emergency contact information for employees, or only contact this customer after 11 a.m. or things of this nature. It can also be a place where salesmen put there information regarding their contacts and personal information at.
With the Client Rolodex, you are able to set up groups or databases of ‘like’ people, such as clients, employees, people who only buy occasionally and so on. This way, you are able to utilize the e-mail capabilities of the system. You can e-mail each individual you bring up on your computer through the Client Rolodex or a group of people. You can re-categorize people and even put them into more than one group.
